1. Identify the exact interest

Do not compare or negotiate until the asset and membership class are unambiguous.

Use the certificate and official club material, not only the listing headline.

Individual, corporate, proprietary, non-proprietary and playing-right arrangements are not interchangeable.

Confirm that the certificate or membership record exists; avoid storing its number here.

Ask the club whether a sale, nominee change or assignment is currently permitted.

Check golf access, dependants, nominees, guests, booking rights and reciprocal privileges.

2. Verify the seller and authority

Match the person offering the interest to the official ownership and authority records.

A certificate image alone does not establish the current registered owner.

Do not copy identity numbers into this checklist.

This may involve a power of attorney, estate documents or other written authority.

Confirm current resolutions, secretary’s certification and authorised signatory requirements.

Ask the club or issuer what restrictions or replacement processes affect completion.

3. Confirm requirements with the club

Use contact information obtained independently from the club’s official channel.

Document requirements can change and incomplete submissions may be rejected.

Identify dues, assessments, minimum spending or other balances that must be settled.

Check sponsors, references, photographs, employment or corporate records and residency rules.

Submission of documents may not guarantee approval. Use the club rejection and approval guide to plan for incomplete, deferred and denied applications.

Define whether completion requires a new certificate, register entry, membership notice or several items.

4. Calculate the complete commitment

Compare the total first-year and holding cost, not just the advertised share price.

Separate published asks and bids from completed transactions or professional valuations.

Include transfer, admission, application, processing and nominee-change fees.

Include dependants, lockers, consumables and required advance payments where applicable.

Clarify who pays obligations arising before and after completion.

The applicable BIR treatment depends on the actual instrument, parties and beneficial ownership.

5. Protect the written offer

Make the commercial terms and failure conditions explicit before a deposit is released.

Use consistent names and class descriptions across the offer and supporting records.

Include document, clearance, tax-processing and club-approval conditions as appropriate.

State who holds funds, when they can be released and what happens after rejection or failed verification. Use the deposit and payment-safeguards guide.

Avoid relying on assumptions about customary buyer or seller responsibility.

Account for club committee schedules, incomplete documents and government processing.

6. Close against verifiable evidence

Do not treat a conversation, payment request or private signature alone as proof of completion.

Use a known official or professional channel and watch for last-minute account changes.

Keep dated evidence from the appropriate club function.

Use the current BIR and club checklists applicable to the transaction.

Verify the new certificate, stock or membership book entry, or other agreed evidence.

Store sensitive originals outside this browser checklist and record where they are held.

Why these checks matter

An official 2026 Eagle Ridge checklist illustrates that a club may require membership forms, endorsements, a notarised deed, tax documentation, identification, account clearance and fees—and states that submitting requirements does not guarantee approval.
